VarroaVault Treatment Reminder System: Never Forget a Protocol Step
Beekeepers using automated treatment reminders miss protocol steps 80% less often than those relying on paper calendars. That gap is real: forgetting to remove Apivar strips after 56 days, missing the second Apiguard dose, or skipping an OA vaporization in a 5-application sequence all reduce treatment efficacy and waste the investment you made in the first application.
Here's how VarroaVault's reminder system works and how to set it up so nothing gets missed.
TL;DR
- Treatment decisions should always be triggered by a mite count result, not a fixed calendar date
- Different treatments have different temperature requirements, PHI restrictions, and brood penetration capabilities
- Always run a post-treatment count 2-4 weeks after treatment ends to calculate efficacy
- Efficacy below 80% warrants investigation -- possible resistance, application error, or reinfestation
- Rotate treatment chemistry to prevent resistance buildup across successive cycles
- VarroaVault logs treatment events, calculates efficacy, and flags when rotation is recommended
What the Reminder System Covers
VarroaVault creates protocol reminders automatically when you log certain treatment events. Here's what fires for each product:
Apivar (amitraz strips):
- Day 42: Efficacy count reminder. "Time to do a post-treatment count on [Hive ID] to check Apivar efficacy before strip removal."
- Day 42-56: Strip removal reminder. "Apivar strips in [Hive ID] are due for removal. Do not leave beyond day 56."
- Day 14: Strip removal reminder. "Formic Pro pad in [Hive ID] is due for removal."
- Day 21 (7 days post-removal): Post-treatment count reminder.
MAQS:
- Day 7: Strip removal reminder.
- Day 14 (7 days post-removal): Post-treatment count reminder.
Apiguard:
- Day 14: Second dose application reminder. "Apply second Apiguard dose to [Hive ID]."
- Day 28 (14 days after second dose): Treatment completion and count reminder.
OA vaporization extended protocol:
- After application 1: Reminders for applications 2-5 at your selected interval (5, 6, or 7 days)
- 7-14 days after final application: Post-treatment count reminder
OA dribble:
- 7-14 days post-application: Post-treatment count reminder
You don't have to create any of these reminders manually. Log the treatment, and they appear automatically.
Delivery Options
Reminders reach you through three channels:
SMS: Text message to your phone at 7am on the reminder day. This is the most reliable delivery for field days when you're not checking email.
Email: Message to your logged email address. Better for planning ahead; less reliable as a same-day field reminder.
Calendar sync: VarroaVault exports all upcoming treatment reminders to Google Calendar, Apple Calendar, or Outlook in a single step. Once synced, your treatment protocol dates appear alongside your other appointments. This is the most integrated option for beekeepers who live and die by their calendar.
Configure your delivery preferences in Settings > Notifications. You can enable all three, any combination, or just one.
Calendar Sync Setup
To sync VarroaVault reminders to your phone or computer calendar:
- Go to Settings > Notifications > Calendar Sync.
- Select your calendar app (Google, Apple, or Outlook).
- Authenticate with your calendar account.
- Choose which reminder types to sync (all treatments, or specific products).
- Confirm.
Once synced, every new treatment reminder created in VarroaVault automatically appears in your calendar. Changes to treatment dates (if you adjust a protocol step) update in the calendar automatically.
For operations with multiple apiaries, each reminder includes the hive ID and apiary name so you know where to go on the reminder day.
Adding Employees to the Reminder System
If you have employees who manage specific apiaries, they can receive reminders for the hives they're responsible for. In Settings > Team Access, add the employee as a Logger and enable notification sharing. They receive SMS and email reminders for the hives in their assigned apiary.
This eliminates the relay problem: instead of you receiving a reminder and then texting your employee, they receive the reminder directly with the hive ID and action required.
What Happens When You Miss a Reminder
VarroaVault doesn't delete missed reminders. If a reminder fires and you don't log the required action within 48 hours, it escalates to a "Overdue Action" flag on your dashboard. The flag stays visible until you log the action or dismiss it with a note.
This means missed steps are visible, not invisible. You can see at a glance whether any treatment protocol steps are outstanding across all your hives.
If you need to delay a protocol step (schedule conflict, weather, equipment issue), you can reschedule it in the treatment record. The subsequent reminders adjust automatically.

Frequently Asked Questions
How do I set up treatment reminders in VarroaVault?
Treatment reminders create automatically when you log a treatment. Select the product and application date in the treatment log, and VarroaVault generates protocol step reminders (second doses, strip removals, post-treatment counts) on the correct dates for that product. Configure your delivery preference (SMS, email, or calendar sync) in Settings > Notifications once, and all future reminders use those settings.
Can VarroaVault remind me to remove Apivar strips?
Yes. When you log an Apivar installation in VarroaVault, the system automatically creates a day-42 efficacy count reminder and a day-42 to day-56 strip removal reminder for that hive. You receive the reminder via SMS and email on the day it fires. The strip removal reminder stays active until you log the removal action in VarroaVault. An overdue strip removal flag appears on your dashboard if the action isn't logged within 48 hours of the reminder.
Do VarroaVault reminders sync with my phone calendar?
Yes. Calendar sync exports all upcoming treatment reminders to Google Calendar, Apple Calendar, or Outlook in one step. Once enabled, every new reminder appears in your calendar automatically, including hive ID and apiary name. Changes to treatment protocol timing update in the calendar automatically. Set up calendar sync in Settings > Notifications > Calendar Sync.
How do I know if my varroa treatment is working?
Run a mite count 2-4 weeks after the treatment ends and compare it to your pre-treatment count. The efficacy formula is: ((pre-count - post-count) / pre-count) x 100. A result above 90% indicates effective treatment. Results below 80% should trigger investigation for possible resistance, application error, or reinfestation. Log both counts in VarroaVault to track efficacy trends across treatment cycles.
How often should I check mite levels in my hives?
At minimum, once per month (every 3-4 weeks) during the active season. Increase to every 2 weeks when counts are near threshold or after a treatment to verify it worked. In fall, monitoring frequency matters most because the window to treat before winter bees are raised is narrow. VarroaVault's monitoring reminders can be set to your preferred interval for each apiary.
What records should I keep for varroa management?
Each record should include: date of count or treatment, hive identifier, monitoring method used, number of bees sampled, mites counted, infestation percentage, treatment product name and EPA registration number, dose applied, treatment start and end dates, and PHI end date. State apiarists typically expect this level of detail during inspections. VarroaVault captures all of these fields in a single log entry.
